Terms of Service

Review the terms that govern access to and use of Record Time.

Effective Date: September 21, 2026

These Terms of Service (“Terms”) govern your access to and use of Record Time, including the Record Time website, employee time-tracking application, owner dashboard, and related services (collectively, the “Service”).

Record Time is operated by Renlee Group LLC (“Renlee Group,” “Record Time,” “we,” “us,” or “our”).

By creating an account, starting a trial, purchasing a subscription, or otherwise using the Service, you agree to these Terms. If you are using the Service on behalf of a business or organization, you represent that you have authority to agree to these Terms on its behalf.

If you do not agree to these Terms, do not use the Service.

1. The Record Time Service

Record Time is a time-tracking service designed to help businesses record, review, manage, and export employee work-time information.

Features may include employee clock-in and clock-out functionality, time records, owner or administrator review and editing, weekly hour summaries, and data export.

Record Time is a time-recording tool. It is not a payroll provider, professional employer organization, accounting service, legal service, tax adviser, or human-resources adviser.

We may modify, improve, add, or remove features from time to time.

2. Business Accounts

A business owner or authorized representative may create a Record Time account on behalf of a business or organization.

By creating an account for a business, you represent that you have authority to accept these Terms on behalf of that business.

The business account holder is responsible for:

  • maintaining accurate account information;
  • controlling access to the owner account;
  • creating and managing employee access;
  • reviewing employee time records for accuracy;
  • correcting inaccurate or incomplete records when appropriate; and
  • ensuring use of Record Time complies with applicable laws and workplace policies.

You are responsible for activity occurring through your account and should promptly notify us if you believe your account has been accessed without authorization.

3. Employee Use

Businesses may allow their employees or workers to access Record Time to clock in, clock out, and view time-related information.

Employees currently access Record Time using a Company Code and Employee Number established or provided by their business. Employees do not currently have separate Record Time email/password accounts or PINs.

Company Codes and Employee Numbers should be treated as access credentials. Businesses are responsible for determining who is authorized to use the Service, establishing and managing employee access, and taking reasonable steps to protect employee access credentials.

Employees must use Record Time only for legitimate timekeeping purposes and must not intentionally submit false, misleading, or fraudulent time information.

4. Time Records and Employer Responsibilities

Record Time provides tools for recording and managing time information, but the business using Record Time remains responsible for the accuracy and legal sufficiency of its time and payroll records.

Businesses are responsible for reviewing time records and making any necessary corrections before relying on those records for payroll or other purposes.

Record Time does not determine:

  • whether a worker is properly classified as an employee or independent contractor;
  • whether recorded time is compensable;
  • overtime eligibility or requirements;
  • required meal or rest periods;
  • minimum-wage requirements;
  • payroll deductions;
  • tax obligations;
  • employment classifications; or
  • compliance with federal, state, or local employment laws.

The Service should not be treated as legal, tax, accounting, payroll, employment, or human-resources advice.

Businesses are responsible for complying with all applicable wage-and-hour, payroll, employment, tax, recordkeeping, and workplace laws.

Businesses are also responsible for maintaining any records they are legally required to retain and should not rely solely on Record Time as their permanent payroll, employment, or legal records archive.

5. Account Credentials and Security

You are responsible for protecting passwords, Company Codes, Employee Numbers, and other information used to access Record Time.

You may not knowingly allow unauthorized individuals to access an account or attempt to access another customer's account or data.

If you believe credentials have been compromised, you should change the affected credentials when possible, restrict affected access where appropriate, and contact us at support@getrecordtime.com.

6. Free Trial

Record Time may offer eligible new customers a 14-day free trial.

Unless otherwise stated during signup, no subscription fee is charged during the free-trial period.

At or near the end of the trial, continued access to certain owner or administrative features may require a paid subscription.

Expiration of a trial does not necessarily prevent employees from accessing employee timekeeping functionality, but owner or administrative access may be limited until a paid subscription is established.

We may modify or discontinue trial offers or limit eligibility for repeated trials.

7. Subscription and Billing

Record Time is currently offered at $19.99 per month for unlimited employees, unless a different price or promotional offer is clearly presented to you before purchase.

Subscription fees are billed through our third-party payment processor, Stripe.

By purchasing a subscription, you authorize the applicable subscription charges and any applicable taxes to be charged to your selected payment method.

Subscriptions automatically renew each billing period until canceled.

You are responsible for keeping payment information current and for paying applicable subscription charges and taxes associated with your purchase, except for taxes imposed on Renlee Group LLC's income.

We may change subscription pricing in the future. If we change the price of an existing paid subscription, we will provide notice as required by applicable law before the new price applies.

8. Cancellation

You may cancel your Record Time subscription through the available account or billing-management tools.

Cancellation stops future subscription renewals. Unless otherwise stated during cancellation, access associated with a paid subscription generally continues through the end of the billing period for which payment has already been made.

Cancellation generally does not retroactively refund amounts already charged.

Unless otherwise required by law or expressly stated by us, subscription payments are non-refundable.

After a subscription expires or otherwise becomes inactive, access to some owner or administrative features may be limited or disabled. Certain employee timekeeping functionality may remain available.

Cancellation of a subscription does not automatically delete the business account, employee records, time records, or other information associated with the account.

Businesses are responsible for exporting or otherwise retaining records they are required or wish to keep and should not rely on continued access to Record Time as their sole method of preserving legally required records.

9. Data and Time Records

As between you and Record Time, you retain your rights in the business and timekeeping information you or your authorized users submit to Record Time.

You grant Renlee Group LLC the rights necessary to host, store, process, transmit, display, reproduce, and otherwise handle that information as reasonably necessary to provide, maintain, secure, support, and improve the Service.

We may use service data in aggregated or de-identified form for legitimate business purposes such as analyzing performance, reliability, and product usage, provided that such information does not reasonably identify you or your employees.

Our collection, use, retention, and handling of personal information is also governed by our Privacy Policy.

Cancellation or termination of a subscription does not by itself constitute a request to delete account or company data.

10. Data Accuracy and Availability

Although we work to provide a reliable Service, no software or internet-based system is error-free or continuously available.

You are responsible for reviewing important time records and maintaining any records or exports reasonably necessary for your business.

Record Time does not guarantee that:

  • the Service will always be uninterrupted;
  • every clock event will always be successfully transmitted or recorded;
  • data entered by users will be accurate;
  • the Service will satisfy every legal recordkeeping requirement applicable to your business; or
  • stored information will never be lost or corrupted.

If a time record appears incorrect or incomplete, the business should investigate and correct it as appropriate before relying on it.

Businesses remain responsible for verifying time information before using it for payroll, compensation, employment, legal, tax, or other business purposes.

11. Acceptable Use

You may not use Record Time to:

  • violate applicable law;
  • access another customer's account or data without authorization;
  • interfere with or disrupt the Service;
  • probe, scan, or test the vulnerability of the Service without authorization;
  • introduce malware or malicious code;
  • circumvent authentication, access controls, subscription restrictions, or security measures;
  • reverse engineer the Service except where such restriction is prohibited by law;
  • use automated methods to abuse, overload, scrape, or improperly access the Service; or
  • use Record Time for fraudulent, deceptive, or unlawful purposes.

We may suspend or terminate access when reasonably necessary to protect Record Time, our customers, our service providers, or others.

12. Intellectual Property

Record Time, including its software, design, branding, logos, interfaces, text, and other materials provided by us, is owned by Renlee Group LLC or our licensors and is protected by applicable intellectual-property laws.

These Terms give you a limited, non-exclusive, non-transferable, and revocable right to use the Service for your internal business purposes while your account is authorized to access it.

These Terms do not transfer ownership of Record Time or its intellectual property to you.

13. Third-Party Services

Record Time relies on third-party service providers for portions of the Service, which may include hosting, database infrastructure, authentication, email delivery, and payment processing.

Those services may occasionally experience outages, interruptions, or other problems outside our reasonable control.

Your use of certain third-party functionality may also be subject to the applicable provider's terms or privacy practices.

14. Service Changes and Availability

We may update, modify, suspend, or discontinue portions of Record Time from time to time.

We will make reasonable efforts to avoid unnecessary disruption, but we do not guarantee uninterrupted or error-free availability.

We may perform maintenance or make changes necessary for security, reliability, legal compliance, or operation of the Service.

15. Suspension and Termination

We may suspend or terminate an account if we reasonably believe:

  • these Terms have been materially violated;
  • the Service is being used unlawfully or fraudulently;
  • account activity threatens the security or operation of the Service;
  • required subscription payments remain unpaid; or
  • suspension or termination is necessary to comply with law.

You may stop using Record Time at any time.

Termination or suspension of access does not automatically require immediate deletion of account or timekeeping information. Data retention and deletion are addressed in our Privacy Policy and may also be subject to applicable legal, operational, security, or recordkeeping requirements.

Termination does not eliminate obligations that arose before termination.

Sections of these Terms that by their nature should survive termination—including provisions concerning intellectual property, disclaimers, limitation of liability, indemnification, governing law, and obligations accrued before termination—will survive termination to the extent applicable.

16. Disclaimer of Warranties

TO THE MAXIMUM EXTENT PERMITTED BY LAW, RECORD TIME IS PROVIDED “AS IS” AND “AS AVAILABLE.”

RENLEE GROUP LLC DISCLAIMS WARRANTIES OF MERCHANTABILITY, FITNESS FOR A PARTICULAR PURPOSE, NON-INFRINGEMENT, AND ANY OTHER WARRANTIES THAT MAY BE DISCLAIMED UNDER APPLICABLE LAW.

WE DO NOT WARRANT THAT RECORD TIME WILL BE UNINTERRUPTED, ERROR-FREE, COMPLETELY SECURE, OR SUITABLE FOR EVERY BUSINESS OR LEGAL REQUIREMENT.

WE DO NOT WARRANT THAT USE OF RECORD TIME ALONE WILL SATISFY YOUR BUSINESS'S EMPLOYMENT, PAYROLL, TAX, WAGE-AND-HOUR, OR RECORDKEEPING OBLIGATIONS.

Nothing in these Terms excludes warranties or rights that cannot lawfully be excluded.

17. Limitation of Liability

TO THE MAXIMUM EXTENT PERMITTED BY LAW, RENLEE GROUP LLC AND ITS OWNERS, OFFICERS, EMPLOYEES, CONTRACTORS, AND AFFILIATES WILL NOT BE LIABLE FOR INDIRECT, INCIDENTAL, SPECIAL, CONSEQUENTIAL, EXEMPLARY, OR PUNITIVE DAMAGES ARISING FROM OR RELATED TO RECORD TIME.

THIS INCLUDES, TO THE EXTENT PERMITTED BY LAW, LOST PROFITS, LOST REVENUE, BUSINESS INTERRUPTION, LOSS OF DATA, PAYROLL ERRORS, OR DAMAGES ARISING FROM INACCURATE OR INCOMPLETE TIME RECORDS.

TO THE MAXIMUM EXTENT PERMITTED BY LAW, OUR TOTAL LIABILITY FOR CLAIMS ARISING OUT OF OR RELATING TO THE SERVICE WILL NOT EXCEED THE GREATER OF:

  • (A) THE AMOUNT YOU PAID TO RECORD TIME DURING THE 12 MONTHS BEFORE THE EVENT GIVING RISE TO THE CLAIM; OR
  • (B) $100.

Some jurisdictions do not permit certain exclusions or limitations of liability, so portions of this section may not apply to you.

18. Indemnification

To the extent permitted by law, you agree to indemnify and hold harmless Renlee Group LLC, its owners, officers, employees, contractors, and affiliates from third-party claims, damages, liabilities, and reasonable expenses arising from:

  • your unlawful use of the Service;
  • your material violation of these Terms;
  • fraudulent or intentionally inaccurate information submitted through your account; or
  • your violation of another person's rights.

This section does not require you to indemnify us for claims caused by our own unlawful conduct to the extent such an obligation would be prohibited by law.

19. Changes to These Terms

We may update these Terms as Record Time evolves or as legal or operational requirements change.

If we make material changes, we will provide reasonable notice when required by applicable law.

The updated Terms will become effective on the date stated in the revised version.

Continued use of the Service after revised Terms become effective constitutes acceptance where permitted by law.

20. Governing Law and Venue

These Terms are governed by the laws of the State of Georgia, without regard to its conflict-of-law principles.

To the extent permitted by applicable law, any dispute arising from or relating to these Terms or the Service will be brought in the state or federal courts having jurisdiction in or over Effingham County, Georgia, and the parties consent to the jurisdiction of those courts.

Nothing in this section limits any rights or remedies that cannot lawfully be limited by agreement.

21. Severability

If any provision of these Terms is found invalid or unenforceable, that provision will be enforced to the maximum extent permitted by law, and the remaining provisions will remain in effect.

22. Entire Agreement

These Terms, together with the Privacy Policy and any other terms expressly incorporated into them, constitute the agreement between you and Renlee Group LLC regarding your use of Record Time and supersede prior agreements or understandings concerning the Service to the extent they address the same subject matter.
